Privacy policy

This policy explains how UK Wide Food Supplies (“we”, “us”) handles the information you provide when you use our ordering website and app at ordering.ukwfs.co.uk. It applies to both the website and the Android app, which shows the same website.

What we collect

When you place an order we collect only what we need to fulfil it:

  • Your business name and, if you give it, a contact name.
  • A phone number and/or email address so we can confirm your order.
  • The products, quantities, any order notes and your preferred collection time.
  • Basic technical information (such as server logs) needed to keep the service secure and working.

We do not take payment online and we do not collect or store any card or bank details.

How we use it

  • To receive, confirm and prepare your order for collection.
  • To contact you about that order (for example to confirm availability, price or timing).
  • To keep records of orders for our accounts and stock.

Our lawful basis under UK GDPR is performance of a contract with your business and our legitimate interest in fulfilling and administering orders.

Sharing

We do not sell your information or share it for marketing. We only share it where necessary to run the service — for example our hosting and email providers, who process data on our instructions — or where we are required to by law.

Storage on your device

Your part-built order (basket) is stored locally on your own device so it isn’t lost if you navigate away. Staff signing in to the back office use a secure session cookie. These stay on the device and are not used for advertising or tracking.

How long we keep it

We keep order records for as long as needed to fulfil the order and to meet our accounting and legal obligations, then delete or anonymise them.

Your rights

You have the right to ask for a copy of the information we hold about you, to have it corrected, or to have it deleted where we no longer need it. Changes

We may update this policy from time to time. The date at the top shows when it was last changed.
